AIS General Contract Provisions
By signing any AIS proposal, you agree to these terms and conditions
SYSTEM SALES AND INSTALLATION CONTRACT
- Client hereby engages AIS to perform the services defined and described in the Scope of Work (herein after “Work”) sheet attached hereto as Exhibit A. No changes to the Work shall be permitted unless the Client and AIS execute a written change order.
- In return for AIS work, Client agrees to purchase the equipment and labor of AIS and to pay to AIS, at its office or at other such place as it may designate upon a schedule as stated in the proposal.
AIS will not be required to begin any phase of the Work without receipt of payment as detailed on the above schedule.
- If Client cancels or changes the Work, after equipment or material for the Work has beenprocuredby AIS, Client agrees to pay a fifteen percent (15%) restocking fee for the equipment or materials.
- AIS expects to complete the Work tentatively by a date to be provided by the contractor, subject to delays. The expected completion date is an estimate only and AIS shall not be responsible for delays or failure to meet the expected completion date. Client agrees and understands in no event shall AIS be responsible for delays or consequential damages resulting from: delays, including, but not limited to delays resulting from construction of the Property, the unsuitability or inaccessibility of rooms in the Property, the inability to obtain equipment or parts necessary to complete the Work, power failures or failure of complementary utility systems being available, the Client’s failure to make timely payment; or the unsuitability, incompatibility, or condition of equipment provided by Client. Client shall be responsible for and shall pay to AIS the cost of any additions, corrections or changes to the Work that may be required by any governmental or quasi-governmental agency.
- AIS shall have the right to assess a trip charge against Client for missed or cancelled appointments, not rescheduled within forty-eight (48) hours prior to the time the Work is scheduled.
- AIS warrants to Client that its labor shall be free from defects. AIS will provide Client with all manufacturers’ warranties upon completion of the Work however, AIS does not directly warrant any System equipment. AIS warranty on labor is not transferrable and shall be void if anyone other than AIS tampers with or alters AIS’s work. Except for the warranty on labor, Client hereby disclaims any and all warranties, express or implied, including warranties as to the condition of the System or Work or their fitness for a particular purpose from AIS for any equipment, Work, or System components.
- In the event of default by Client in the performance of any of the terms or conditions of this Agreement, including timely payment of any amounts due toAIS,and may pursue on or more of the following remedies, which shall be cumulative and nonexclusive: recover from Client the total unpaid balance of the sums provided for in paragraph 2; repossess the System; immediately cease further work on the installation of System; terminate this Agreement; place a mechanics lien on the underlying property; pursue any other remedy at law now or hereafter existing.
- All dealings, correspondence and memoranda between the parties hereto are merged into this agreement whichconstitutesthe entire agreement between AIS and Client. No representations, warranties, undertakings or promises, whether written or oral, expressed, or implied, can be made or have been made by AIS or Client or their respective agent, officers, or employees, unless expressly stated herein or unless mutually agreed upon in writing after the date of this agreement by the parties hereto.
- This agreement shall be binding upon and shall inure to the benefit of the parties hereto, their respective heirs, executors, administrators, devisees, personalrepresentatives,and assigns, provided, however, that Client may not assign, set over or transfer this Agreement without the written approval of AIS.
- The invalidity of any of the provisions of this agreement shall not affect the validity or enforceability of theremainderof this Agreement. The failure of AIS to enforce any of its rights under this agreement is not a waiver of AIS’s rights to do so in the future.
- The provisions attached to the back page of this Agreement shall be incorporated as part of this Agreement.
Client has the right to cancel this contract without penalty by providing written notice of Client’s desire to do so within three business days of the acceptance date of this agreement.
Client acknowledges that Client has received a copy of this Agreement and that Client has read and understands the terms and condition contained herein.
General Contract Provisions
A site walk through shall be conducted by Advanced Integrated Systems LLC, (AIS) prior to the commencement of rough wiring for the purpose of identifying equipment and electronic device locations. Any parties interested in the location of this equipment with regard to its impact on the aesthetics and the coordination with other finishes and furnishings should be in attendance. The relocation of equipment once it has been wired, constitutes a change order, and shall be charged at the standard labor rate.
- A Project Manager will be assigned to your project who will coordinate directly with the owner, General Contractor, designers, consultants and other subcontractors to ensure that the job runs smoothly. The Project Manager will have detailed knowledge and understanding of the system designs and the installation process.
- The installation of the electronic systems proposed is a multi-phase process. For scheduling purposes, AIS requires a minimum of four weeks advance notice prior to each installation phase in order to schedule the requisite technical personnel and ensure that all required materials are on hand.
- Failure to notify AIS 21 days in advance to schedule work may result in additional charges. If AIS arrives at a jobsite for a previously scheduled and confirmed appointment and the jobsite does not meet the requirements included herein, the customer may be responsible for a $350.00 surcharge for each occurrence.
- AIS shall not be held responsible for delays caused by national emergency, fire, strike, accident, contractor delays, non-payment, change orders or causes beyond their control. Labor rate for systems quoted has been calculated at straight time.
- Any customer requested work to be performed on overtime will be billed at a differential overtime rate. Customer is responsible for paying the additional labor for overtime requested.
- Scaffolding and Lifts: Customer to provide, pay and arrange for any required scaffolding and lifts, unless otherwise specified.
- Electrical work, necessary to accommodate the systems proposed, shall be provided by the Electrical Contractor. Such electrical requirements shall be provided by AIS prior to rough electrical wiring.
- Any trenching or conduit required to accommodate this system design shall be provided by others, unless otherwise specified.
- Any framing necessary to accommodate this system design or proper equipment placement shall be provided by the General Contractor.
- Any painting or re-finishing of equipment provided by AIS shall be provided by others.
- AIS is not responsible for any additional material and/or equipment necessary when a customer subscribes to phone, cable and/or satellite services. AIS is not responsible for utility/cable company changes in programming and/or channel changes. AIS is not responsible for any problems as a result of any power outage and/or surge, or any and all high voltage wiring; electrical outlets necessary to power any agreed upon installation of any proposed equipment.
- Over the course of the construction process, technological advances may occur and equipment model numbers may change. Suggested changes from the original contract shall be presented for approval prior to purchase.
- Over the course of the project process, pricing is subject to change due to external factors beyond the control of AIS, such as tariffs, supply chain disruptions, or significant currency fluctuations. Any such adjustments will be communicated to the Client and reflected in the proposal or invoice as applicable.
- Over the course of the project shipping and freight charges may fluctuate. Shipping and freight charges are the responsibility of the Client. Increases in shipping or freight charges will be reflected in change orders or additions and will be billed to the client.
- Change Orders may be requested by the client or suggested by AIS as a result of the changing nature of the project or technological advances. Change Orders shall be presented for approval prior to any work being performed and will be invoiced in full upon approval of the Change Order.
- Scheduled orientation on the capabilities and functionality of each system shall be provided upon the completion of installation. Additional training sessions are available if requested and are billed accordingly.
- Client shall provide all required drawings, including future updates and ensure the full cooperation of all teams (electrical, mechanical, etc.).
- Owner’s representative, interior designer, and all other pertinent managers need to be available for scheduled meetings with AIS.
- AIS is only performing the work outlined in the scope of work of this document.
- AIS will order products for the project at least four weeks before scheduled installation. All payments for equipment must be received prior to ordering. AIS requires proof of payment or proof of loan draw submittal before parts are to be ordered.
- “Professional Services and Areas” are based on presented and accepted services and materials. Any future deviation / modification / change by owner or manufacturer’s modification / coverage and/or provision shall not be the responsibility or liability of AIS.
- Client and AIS agree that it would be mutually beneficial to provide for a procedure for resolving any disputes that might arise between them. Any and all disputes, demands, claims, or controversies hereto arising out of, or relating to this contract or the breach thereof, shall be settled by a binding arbitration in accordance with AIS arbitration of disputes policy. The place of arbitration shall be in the County where AIS is located. The arbitral tribunal shall be composed of a sole, unbiased arbitrator.
- If the progress payment of payment schedule is not paid on time, AIS will stop all work and drop all liabilities for consequential or other damages.
- Back charges may be required on occasions in which AIS must repair or correct errors in work performed by others. Back charges shall be presented for approval prior to any work being performed, unless time is of the essence and a verbal approval to proceed has been provided by the owner or an authorized agent of the owner.
- All deposits are non-refundable.
- Permits/Fees: Any permits or fees if required will be additionally charged.
- Payment is due immediately after invoicing. Unpaid balance beyond 30 days after invoicing of completed tasks as outlined in the estimate shall bear interest payable to AIS at a rate of 3.0% per month simple interest. In the event it deems necessary to obtain payment by legal and/or collection means, client is responsible for any and all legal and/or collection fees including appeals. A $25.00 fee will be assessed for all checks returned unpaid.
- Payment methods: Pricing quoted on Proposals, Agreements and Change Orders are based on payments made within the stated time periods via these methods only: cash, checks, ACH, bank transfer or wires.
- In order to limit financial risk, AIS requires that payment on all past invoices for completed phases of our services or installation be received in our office prior to our continuation of contract performance.
- AIS may agree to install equipment already owned, or purchased new, by client. AIS does not cover this equipment under any warranty. AIS does not assume any responsibility for this equipment, at any time during, or after project. Any service call relating to this equipment will be billed at standard rates. AIS takes no responsibility for seeking warranty repair or replacement for such equipment.
- Special order items and items requiring customization may NOT be returned or exchanged. Specific custom items have other conditions – see the following sections for more information.
- Returns and Loaners. We offer credit only for any product return. Loaner equipment must be returned in the condition it was received or the customer will be billed for any repairs or replacement, including shipping.
- Any existing wiring or equipment is assumed to be in good working order. Repair or replacement of any existing wiring or equipment will incur additional cost.
- Workmanship warranty: AIS warrants all workmanship involved in an installation for the life of the system to the original owner. During the first 365 days of the warranty period, reasonable service calls made may be free of charge. After the first 365 days, all service calls will be billed at standard rates.
- Equipment warranty: AIS will be glad to assist the client in obtaining warranty service from the equipment manufacturers. Customer supplied equipment is not covered by this term and is covered by the “Customer Supplied Equipment” contract term. All manufacturers’ warranties apply for supplied equipment. If a repair is needed, removal and reinstallation plus any freight is billable to the client.
- Labor warranty: The labor warranty for non-workmanship items is 365 days. Additional programming or any new client requests beyond 365 days not part of the original agreement are billable at our current hourly rates. We strongly recommend an AIS Performance Plan to cover additional service and maintenance requests.
Jobsite Requirements
- AIS strives for regular communication for the purposes of scheduling, information and contacting new homeowners. If the contact person we have for your project changes, please notify us as soon as possible so that we may continue gathering accurate and current information. Effective communication will assist in alleviating possible delays for jobsite progress and avoid possible surcharges.
- Client agrees that AIS work is part of a construction process, and that damage can occur to personal property in areas of the System installation. Client agrees to remove any items of value from the area providing ingress and egress to the Work and the Work area itself. AIS shall not be responsible for damage to items not removed.
- Client is responsible for clearing out any and all furniture, boxes or other obstructions that are in the Work area or areas providing ingress and egress to the Work Area. AIS employees are not allowed to move any items. AIS shall not be responsible for the set up and cleaning of any cabinets or other structures that are intended to house equipment. AIS reserves the right to inspect any and all cabinets or other structures that are intended to house equipment prior to installation and reserves the right to decline to install equipment in a cabinet or other structure that would be unsuitable or dangerous.
- AIS work on the System may require the drilling of holes or cutting into certain locations of the Property, including drywall and carpeting. AIS will perform rough patching, but will not be responsible for finish patching, painting, or covering of any holes or cut areas.
- AIS agrees to install or cause to be installed the System at the Property in a workmanlike manner and in substantial compliance with the Scope of Work. Client understands and agrees that because of the nature of construction, modifications may be needed to the Scope of Work and the finished System may deviate in certain respects from the Scope of Work in order to conform to physical conditions in the Property or governmental requirements which may be discovered during the course of the installation. Accordingly, Client agrees that any such change may be made by AIS without the necessity of obtaining Client’s approval.
- In the event AIS is unable to obtain certain materials required by the Scope of Work, they shall have the right, without notice to Client, to substitute materials or equipment of similar or better quality, utility or color.
- Once delivered to the Property, Client shall be solely responsible for the safeguarding of all equipment and system components from damage or theft. Client acknowledges the possibility that other contractors and tradesman not related to AIS may have access to those areas where the work is to be performed and AIS shall not be responsible for safeguarding the System.
- The Scope of Work assumes reasonable access to run wires and additional fees may be charged in the event that unexpected conditions are discovered during the Work. It is crucial that these requirements are met for each phase of work due to the delicate nature of all low-voltage wiring including audio/video/data/phone/coax cables. This is the only way we can guarantee the performance of the installation. Please do not schedule insulation or sheetrock before scheduling technology rough in. If insulation is installed before the rough-in phase is completed by AIS, additional fees for extra labor/hardware/wiring may be required and will be billed as a change order. Contact AIS for length of time required for rough-in installation.
- Rough-in is to be scheduled after HVAC, plumbing and electrical rough-in, carpenters’ stairs complete and before insulation and sheetrock. Builder/Customer will need to be present the first day of rough in for a walk-through. Builder/Customer must notify AIS if power is not available at the jobsite. Builder/Customer must notify AIS in advance if the jobsite has previously been scheduled for rough-in and will not be ready by scheduled date.
- Trim out is to be scheduled after paint, stain and flooring and before closing. Garage and basement must be clear of building materials and debris so that equipment can be installed. Builder/Customer must notify AIS in advance if home has previously been scheduled for trim and will not be ready by scheduled date. Builder/Customer is responsible for ensuring that internet service is in place by the start of the finish trim phase. Timely programming of AIS systems requires reliable and functioning internet service. Any delays in installation and programming caused by the jobsite not having sufficient or functioning internet service may result in additional fees to be billed through a change order.
- There is a substantial amount of low-voltage wiring installed behind sheetrock before the ‘closing’ of walls. Any damage to AIS wiring during any phase of the project is not the responsibility of AIS and may incur significant hourly fees and delays to correct.
- A $350.00 surcharge will be assessed, for each occurrence, if AIS arrives at a jobsite for previously scheduled/confirmed scopes of work and the jobsite does not meet the requirements mentioned above. Invoices will be generated after the completion of each scope of work.
Network Administration
- Due to the complex nature of AIS installed wireless and/or wired network(s) and the potential incompatibilities or latent issues that may arise due to incorrect configuration of additional or existing network hardware, AIS will not authorize third party companies to administer any portion of AIS installed network equipment.
- AIS will not be held liable or accept responsibility for any subsequent issues following our initial installation and/or configuration of Owner’s network system if modified by others. If others such as Cable, Satellite, ISP, or IT support or provider companies, within the course of their services to the Owner, require the use of or any contact with AIS installed network hardware, AIS must be notified prior to any work performed by others.
- In the event the Owner requests AIS to investigate an internet network issue of any type, and the issue is identified to be unrelated to AIS labor or equipment, it is not the responsibility of AIS. The Owner will be invoiced for the time to investigate or resolve these issues.
- AIS will not be held liable or accept responsibility for equipment failure or interruption due to ISP related issues, IE dynamic internet addressing, ISP related downtime, loss of internet access due to environmental issues, or issues due to or caused by third parties. Client expressly holds AIS harmless from any liability for any type of damages, whether direct, indirect or consequential, which Client may suffer as a result of radio wave technology.
Voice and Data Network Security
AIS will make reasonable efforts and take necessary precautions to limit the possibility of unauthorized access to AIS voice and data network. Owner acknowledges and agrees that AIS is not liable for a network security breach to Owner’s voice and data network under any circumstance. AIS shall not be responsible for the security of the data transmitted over the Owner’s wireless devices nor any resulting damages or injuries of any kind. Owner is aware that a wireless signal can be intercepted by third parties and the encrypted data contained in the signal is not completely secure.
Wireless Voice and Data
AIS will not guarantee, nor will be held liable or accept responsibility for interrupted wireless performance, connectivity or issues resulting in a lack of any wireless signal, wireless interference or wireless security breaches of any kind. The performance of a wireless network(s) can be affected by a variety of factors such as building structure, wireless traffic from inside a home/building or outside, cordless phones, Bluetooth devices, microwaves or anything that may cause electrical or electronic interferences.
Residence eMail account
A ‘house’ email account needs to be setup early in the project. This email account will be used by AIS in the setup of numerous devices throughout the system. This is a key aspect of the installation and programming process and must be in place without interruption. If the account is somehow disabled, additional labor charges may apply to reset primary systems.

SAFETY
INTRUSION SYSTEM
- Intrusion/fire components that must be installed to meet local codes such as smoke detectors and carbon monoxide have been included according to the architects plan. If additional components not indicated on the plan are required, they will be provided at additional cost.
- AIS highly recommends that the intrusion/fire system be monitored which is not included in this proposal, unless otherwise specified.
- All TBD items will require labor charges and will be added to the Product & Hardware totals once the items are specified.
SURVEILLANCE SYSTEM
- The system design is based on the proposed floor plans provided by the Architect/Builder/Owner. Changes in the floor plan or architectural features such as the location and size of doors and landscaping will impact the design of all safety systems and will require an adjustment to the contract price.
- Final locations of cameras may require model changes which, in turn may incur an increase or reduction in price.
- AIS shall not be responsible for any Surveillance Camera mounting posts, poles or other standing structures required to attach cameras in designated locations. The fabrication and installation of these supporting structures is by others, unless otherwise specified.
- All TBD items will require labor charges and will be added to the Product & Hardware totals once the items are specified.
- Client shall be solely responsible for privacy law issues. AIS makes no representation as to the suitability or legality of any surveillance system placement or use. Client expressly holds AIS harmless from any liability for any type of damages, whether direct, indirect or consequential, which Client may suffer as a result of the use surveillance technology.
ACCESS CONTROL
- AIS shall not be responsible for providing door hardware or related materials other than the smart lock assembly or of smart control of locking mechanism. We reserve the right to reject supplied equipment for any reason we deem necessary or to charge an additional fee if it will jeopordize the performance or reliability of the system. This includes but is not limited to conduit runs, concrete work, door strikes, magnetic locks, electrified mortise locks, transfer hinges, power supplies, and any related door hardware.
- Unless otherwise specified, AIS shall not be responsible for providing the ‘gooseneck’, gooseneck concrete and conduit for gate entry. AIS must be given all specifications to review the gooseneck before ordering and installation to be sure it is compatible with the Access Control system. We reserve the right to reject supplied equipment for any reason we deem necessary or to charge an additional fee if it will jeopordize the performance or reliability of the system.
- AIS shall not be responsible for the carpentry necessary for the installation of access control or smart locks.
- It is assumed that all “Owner provided” equipment and existing wiring if any is in good working order. Service, repair and/or replacement of defective equipment or wiring, will incur additional charges that must be approved prior to proceeding by the client or his/her representative.
- All TBD items will require labor charges and will be added to the Product & Hardware totals once the items are specified.
COMMUNICATION
- The main wired and wireless Wi-Fi network equipment is installed in the HeadEnd room. Additionally, we will be installing Wireless Access Point (WAPs) in various rooms throughout the building. We will attempt to conceal the WAPs as much as possible while not sacrificing performance, but doing so requires coordination with the architect, lighting designer and electrician, and possibly other trades prior to the completion of framing. We require all reflected ceiling plans and any revisions to ensure that the network devices are best located for performance and aesthetics.
- If installed, some intercom systems will need to be configured to work with landline-based telephone systems. If a KSU-based system is to be installed, AIS must be notified 4 weeks prior to ordering the intercom system so that the correct interface is included. If the Intercom system must be returned for modifications, extra costs may be incurred.
- All TBD items will require labor charges and will be added to the Product & Hardware totals once the items are specified.
ENVIRONMENTAL
- Lighting Control System was designed from plans provided by the Architect for review. A final fixture schedule or changes to the current one (if applicable) may result in changes and additional cost to the lighting control system.
- Additional components (other than listed) that are required to switch or dim loads that require specific wiring or dimmers/modules, other than those specified can be provided at additional cost in a Change Order. In addition, Fluorescent Loads that need to be dimmed, will require special Fluorescent Dimming Ballasts, which can be provided at additional costs.
- Quantity of control locations and number of loads has been verified against the current lighting design or electrical plan. Changes in quantity and type of components may result from a review of a final Lighting design or electrical plan. A Change Order reflecting changes in the quantity and type of components, if any, will be presented for approval prior to proceeding.
- There is a fixed amount of time for programming lighting, after which, additional charges will apply to adjust programming to customer wishes.
- For installations involving customized, programmed ‘scenes,’ your designer and project manager will collaborate with you to design options best suited to your lifestyle. Once activated, subsequent changes to these programmed scenes will be at an additional cost. Similarly, changes to engraved switches coordinating with specific scenes or functions will be at an additional fee once the initial selection is ordered and installed.
- Custom products such as shades, blinds, draperies, etc. are fabricated to exact specifications. Orders cannot be cancelled, and deposits cannot be refunded once products are ordered, usually within 24 hours of receipt of deposit. We will make every effort to correct any unlikely problems encountered with our products. If there is a defect in material or workmanship or we ordered the wrong size, we reserve the right to repair your window coverings to resolve the problem or we will reorder them at no cost to you.
- There may be minimal color variation between the samples and the actual product due to different run lots. Because of these variations, we recommend that when identical products and colors are to be used for more than one window in a room, that they all be ordered at the same time. AIS does not warranty any window treatments from fading. Fabrics may change in appearance when sunlight is directed from the back side of the fabric. We recommend you place the fabric sample in the same light as your final application to determine true appearance. Fabrics should also be viewed in darkness when determining the desired degree of sheerness.
- Most items are manufactured with color coordinated components. At times, an exact match in color is not possible for the components of the blind or shade. The color(s) that best coordinates with the product’s slat or fabric color will be chosen for use on the components (headrail, bottom rail, ladders, lift and tilter cords, tilter wands).
- HVAC Contractor is to provide an operable HVAC system, completely tested and install thermostats supplied as a part of this proposal, if applicable.
- All TBD items will require labor charges and will be added to the Product & Hardware totals once the items are specified.
ENVIRONMENTAL by others
- Lighting Control System was designed from plans provided by the Architect for review. A final fixture schedule or changes to the current one (if applicable) may result in changes and additional cost to the lighting control system.
- Additional components (other than listed) that are required to switch or dim loads that require specific wiring or dimmers/modules, other than those specified can be provided at additional cost in a Change Order. In addition, Fluorescent Loads that need to be dimmed, will require special Fluorescent Dimming Ballasts, which can be provided at additional costs.

Changes in quantity and type of components may result from a review of a final Lighting design or electrical plan. - Fixtures, bulbs and their installation that are supplied by others. AIS is not responsible for issues, failures or performance problems of the finished lighting system due to fixtures, bulbs or their installation.
- All TBD items will require labor charges and will be added to the Product & Hardware totals once the items are specified.
AUDIOVISUAL
- It is assumed that all “Owner Provided” equipment and existing wiring if any is in good working order. Installation, programming, service, repair and/or replacement of defective equipment or wiring when provided by the owner, will incur additional charges that must be approved prior to proceeding by the client or his/her representative.
- AIS must be given all specifications to review any Owner Provided equipment before ordering and installation to be sure it is compatible with the system. We reserve the right to reject supplied equipment for any reason we deem necessary or to charge an additional fee if it will jeopordize the performance or reliability of the system.
- This includes but is not limited to video displays, video projectors, audio gear, power supplies, and any related audio visual equipment.
- For surface-mount or bracket-mounted TVs, recessed ‘clock’ style duplex electrical outlets installed in advance by a licensed electrician are required.
- For all video displays, video projectors, audio gear, power supplies, and any related audio-visual equipment, dedicated GFCI arc-fault outlets are required with each dedicated 20-amp service limited to 5 video devices.
- Rough drawings for equipment cabinets to be submitted to AIS prior to construction. Final approval of any drawings by cabinetmaker must be approved by AIS in order to assure that adequate space has been allocated and that proper ventilation has been provided for the equipment proposed.
- Proposal includes “Service Wiring” to one central utility location. Conduit is to be provided by others, unless otherwise specified. Multiple runs for service may incur additional charges and an approved change order in advance.
- Wiring for major Home Control Systems have been designed and are included at each Equipment Head End Location and Control Location. Integration with systems not proposed in this proposal, if any, are assumed to be incorporated through wireless technologies currently available from these companies. Integration with systems not included in this proposal that require “hardwire” connection, will result in additional charges that must be approved in advance with a change order.
- Satellite and Cable Services are the responsibility of the owner and/or the representative.
- All TBD items will require labor charges and will be added to the Product & Hardware totals once the items are specified.
CONTROL AND HEAD END
- Any drawings for equipment cabinets or equipment/mechanical rooms must be submitted to AIS prior to construction. Final approval of such plans by cabinetmakers or architects for mechanical rooms must be approved by AIS in order to assure that adequate space, power and cooling has been allocated.
- AIS Head End equipment rooms require specialized AC power delivery. We require coordination and installation by the electrical contractor. Any extra materials or labor for the power requirements are not the responsibility of AIS, nor are any equipment failures due to the lack of PREMIER approved AC power delivery.
- AIS Head End equipment rooms require specialized cooling that most often go beyond the typical HVAC vent provided in mechanical rooms. Head end equipment rooms require a separate mini split air conditioning unit, and are to be provided by the Client. Any extra materials or labor for the HVAC requirements are not the responsibility of AIS, nor are any equipment failures due to do lack of AIS approved cooling.
- This proposal includes Minimum Point of Entry setup to one central utility location. Conduit is to be provided by AIS. Multiple runs for service may incur additional charges and approved change orders in advance.
- Unless otherwise specified, integration with any owner-supplied equipment is not included in this proposal. Any owner-supplied equipment integration will result in additional charges that must be approved in advance with a change order.
- AIS system monitoring is billed at extra cost. See the monitoring agreement for terms and conditions.
- All TBD items will require labor charges and will be added to the Product & Hardware totals once the items are specified.
- Final installation and site programming can only start when the site is dust-free, electrical power is stable, the ISP connection is complete and working continually and any CableTV services are functioning properly.
- There is a fixed amount of time for overall programming, after which, additional charges will apply to adjust programming to customer wishes.
SUBSTANTIAL COMPLETION AND BEYOND
- AIS will alert the client or Project Manager when the project is substantially complete, which is when the system is installed and functioning per the original spec as defined in the project agreements.
- The next time period of anywhere from 1 to 60 days after completion is a ‘break-in’ period where some of the equipment or programming might require fine tuning adjustments for full operation. This is normal and often due to the large quantity of diverse hardware, operating systems, applications and custom programming that are combined in a typical system. AIS may perform these adjustments remotely or on-site.
- Separate from ‘break-in’ adjustments are client requests for programming, software, hardware or installation changes, or service labor or materials for defective equipment. These are billed at our current rates. If you have an AIS Performance Plan, some of these requests and issues might be covered (see below). AIS supplied hardware is covered by manufacturer’s warranties. Where non AIS equipment are integrated, support and repair are the responsibility of the owner.

AIS clients are highly recommended to add a Performance Plan for ongoing support and maintenance as soon as the system is essentially complete. Please review the options to determine the best support plan for your needs.
